🔥 An invoice for sold goods must reach the end customer.

  • Amazon tracks this with the Invoice Defect Rate metric. Failure to send invoices can result in account suspension or closure. There are two options to address this:

    1. Manual Invoice Upload:

      • Generate invoices in your accounting system or e-shop and manually upload them to Amazon.

    2. VAT Calculation Service (VCS):

      • Utilize Amazon's VCS to automatically handle VAT calculations and invoice generation.

    Below, we discuss the pros and cons of both options.


Manual Invoice Upload

  • If you use the EXPANDO APP, orders will be transferred to your e-shop or ERP (accounting system) as usual.

  • You are required to issue an invoice for every shipped order.

  • The invoice must be manually uploaded to Amazon Seller Central: navigate to Orders, open the specific order, and click on Manage Invoice.

  • The invoice must be uploaded to the order within 24 hours.

Advantages

You can maintain your own series of variable symbols.

Nothing additional needed.

Disadvantages

Amazon Business (selling to B2B customers in larger volumes) is not activated in this setup.

Uploading invoices can be very time-consuming if you have even dozens of orders.

Amazon will not send you the VAT amount for received orders, and you will need to calculate it yourself (technically very complex and your accounting department will not be pleased).

  • You can use Amazon's VAT Calculation Service (VCS).

  • Amazon will automatically generate invoices for you.

Advantages

You can also sell to B2B customers (Amazon Business):

  • Tax-free sales to businesses with a verified VAT number.

  • Ability to set pricing for B2B customers - more information here.

  • You will always have a 100% invoice defect rate metric.

  • Amazon generates the service for free as part of the "professional account."

  • If you download orders via API, you can create a copy in your e-shop or ERP.

  • Amazon includes VAT rates in the order, eliminating manual calculations.

Disadvantages

  • You must adapt to the invoice numbering sequence created by Amazon.

  • At your own risk, you can maintain dual invoicing (Amazon sends its invoices, and you keep your own for accounting purposes).
